Timeline and Key Dates

  Main Activities Deadlines
Online Materials
Unit Coordinators contact the TLC if help is required with major projects or new units. Negotiate one teaching period ahead
Unit Coordinators contact the Teaching and Learning Centre to arrange fee-for-service web development for new or updated online units. Negotiate two months before the teaching period
Unit Coordinator reviews the process for going online.

Unit Coordinator submits a request for an online unit from the link to the Online Unit Request System from the Teaching & Learning tab in the staff portal, then sets up the unit for their teaching.
Two weeks before an online unit is to be made available to students
TLC staff activate the unit on the learning management system (LMS).
Students are able to access the unit.
Two working days before the nominated activation date
Unit Coordinators request Lectopia (audio recordings) through Bookings in Lectopia (BiL). 2 weeks before the first lecture
Unit Coordinators request CDs of recorded lectures for equity students and those with poor internet access. By week 4
Timetable
Unit Coordinators place timetable requests with Office of Commercial Services. Note: Some laboratory bookings etc are handled within the Division. End of August of previous year for all teaching periods
Bookshop
Bookshop sends Textbook Adoption list to Unit Coordinators for confirmation. Semester 1, Summer School, Trimester 1: Mid September
Semester 2: Mid March
Unit Coordinators submit order forms for textbooks to the Bookshop. Semester 1, Summer School, Trimester 1: End of September
Semester 2: End March
Other: 4 weeks before unit begins
Murdoch Print sends the Bookshop any unit materials for sale to internal students.

NB Unit Coordinators do not need to request reprints for internal students. Students order them online as required using Uprint
1 week before unit start date
Library
Unit Coordinators contact the Liaison Librarian about teaching and research resources. As soon as you know you are coordinating the unit
Unit Coordinators contact the Liaison Librarian to arrange training in research skills for themselves or their students. Semester 1: November of previous year
Semester 2: End of May
Other: 5 weeks before unit begins
Unit Coordinators provide materials (including the Unit Reader but not the Unit Information and Learning Guide) for placement on Reserve and ECMS (e-Reserve). Semester 1 and 2: Week 12 of previous semester
Other: 8 weeks before unit starts
Unit Information and Learning Guide
Unit Coordinators consult Callista and use the information for projected enrolment figures to requisition Unit Information and Learning Guides from Murdoch Print. Semester 1: Before Christmas break
Semester 2: End of May
Other: 8 weeks before unit begins
Unit Coordinators/Schools send originals of materials with a completed order request to Murdoch Print. Semester 1: Before Christmas break
Semester 2: End of May
Other: 8 weeks before unit begins
Unit Information and Learning Guides sent to Schools for distribution. Before unit begins
Murdoch Print provides Library with soft copy of Unit Information and Learning Guides. When they are received from Unit Coordinators
Unit Coordinators/Schools make reprint requests to Murdoch Print for internal students and School only use. As required
Unit Readers, Lab Manuals etc
Unit Coordinators provide Murdoch Print with original documents and order requests.
(Unit Coordinators/Schools must request those copies required for School only use and may include order quantities for internal and external students for information.)

Murdoch Print determines the initial number of Unit Readers to be produced for sale in the University bookshop and for external students. Semester 1: Before Christmas break
Semester 2: May

Internal students order further copies online in the Bookshop using UPrint. As required
Murdoch Print and Open Distance and eLearning (ODE) manage reprints for external students. As required
Unit Coordinators/Schools make reprint requests if material is for School only use. As required
Open Distance and eLearning (ODE)
Murdoch Print distributes printed materials to ODE (formerly External Studies Unit.) 3 weeks before unit begins
Unit Coordinators prepare/update cover letters and forward them electronically to ODE. Semester 1: Mid January
Semester 2: Mid June
Other: 4 weeks before unit begins
ODE despatches unit materials to external students. The week before unit begins
Unit Coordinators return electronic Coordinator/Tutor Allocation forms to ODE. End of week one
ODE provides external students with advice on tutor allocation. End of week 2
Assessment and exams
Unit Coordinators request exemption to the Assessment Policy through the Assessment Committee where the assessment methods do not meet policy requirements. Semester 1: October of previous year
Semester 2: April
12 weeks before unit begins
Examination/assessment requirement advice is provided to the Examinations Office (Open Book, calculators etc). End of week 5
Examination papers are delivered to the Examinations Office, Office of Central Student Administration. Week 10
Week 9 for off campus students
Unit Coordinators download latest unit list from Callista and return completed Results/Final Assessment electronically to the Division Student Administration Office. No exam: Thursday of last week of assessment
Exam in first week: Monday of the following week
Exam in second week: Wednesday of subsequent week
Unit Administration
Unit Coordinators check Callista for numbers of students and download a class list in Excel for tutorial and assignment records. One week before unit begins
